Privacy Policy

TNSG Inc., operating as True North Security Group (“TNSG,” “we,” “us,” or “our”), provides security system design, installation, configuration, monitoring, maintenance, and related services in Ontario and other service areas.

This Privacy Policy explains how TNSG collects, uses, discloses, retains, and protects personal information in connection with our website at tnsg.ca, inquiries and quotations, client relationships, installation and support services, telephone and electronic communications, and security systems that we are authorized to access or support.

Personal information means information about an identifiable individual. Business information may also be personal information when it identifies an individual, relates to a sole proprietor, or is combined with other identifying information.

This Policy is intended to reflect the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian and Ontario laws. It does not replace any project-specific privacy, monitoring, service, or data-processing terms contained in an agreement with TNSG.

TNSG may design, install, configure, maintain, support, or monitor a security system operated for a client. In many cases, the client decides why the system is used, where cameras or access devices are placed, which features are enabled, who may access the system, and how long recordings or logs are retained.

The client is generally responsible for ensuring that its use of CCTV, audio, access control, licence plate recognition, facial recognition, biometric access, employee monitoring, and other security functions is lawful and appropriately communicated to affected individuals. This includes responsibility for notices, signage, consent, workplace or resident policies, user permissions, and retention settings where required.

When TNSG processes information on a client’s behalf, we do so to provide the authorized service or follow the client’s instructions. TNSG remains responsible for personal information that it controls directly, such as inquiry records, account and billing information, service records, support communications, and records created by TNSG personnel.

A request relating to recordings, access logs, or other information controlled by a client may need to be directed to that client. TNSG may assist where required by law or the applicable agreement.

Contact, Business, and Project Information

We may collect information that you, your organization, or an authorized representative provides, including:

  • full name, business or organization name, job title, telephone number, and email address;
  • business, billing, service, installation, or residential address;
  • authorized representatives, administrators, emergency contacts, and preferred communication details;
  • information about the property, business operations, security concerns, previous incidents, and requested services;
  • site photographs, floor plans, diagrams, access points, equipment details, network or cabling information, and other information required to assess or complete a project;
  • quotations, contracts, service history, support requests, and communications with TNSG.

Website, Forms, CRM, and Communications

When you visit our website, submit a form, contact us, or interact with our advertising, we or our service providers may collect:

  • Internet Protocol address, browser, device, operating system, approximate location, and technical identifiers;
  • pages viewed, links selected, visit dates and duration, referring source, campaign information, and website interactions;
  • form submissions, inquiry details, communication history, products or services of interest, and lead source information;
  • cookies, pixels, tags, scripts, local storage, and similar technology identifiers;
  • call metadata, including the telephone number, date, time, duration, routing information, and the campaign or webpage associated with the call.

If call recording or transcription is enabled, notice will be provided at or near the beginning of the call. Callers should not provide unnecessary sensitive information.

Payment Information

Payments may be processed by third-party payment processors, financial institutions, or financing providers. These providers may collect payment card, banking, billing, identity, or fraud-prevention information directly under their own terms and privacy policies. TNSG generally receives only limited transaction information, such as the payer name, billing address, amount, date, payment status, payment method, and transaction reference.

Security System and Monitoring Data

Depending on the products and services selected by a client, TNSG or an authorized service provider may process information generated by a security system (“Client System Data”), including:

  • live or recorded video, still images, event clips, and associated date, time, device, and location information;
  • audio recordings or live audio communications where audio functionality is enabled;
  • alarm, motion, intrusion, tampering, environmental, or system-health events;
  • images of people, vehicles, property, activities, and licence plates;
  • access card, key fob, mobile credential, PIN, entry and exit, authentication, and audit records;
  • authorized-user and administrator information, incident reports, monitoring communications, dispatch records, and response instructions;
  • biometric information, such as facial or fingerprint templates, only where a client has selected and enabled a biometric feature.

TNSG may not receive or access every category listed above. The information available to TNSG depends on the system configuration, the client’s instructions, and the services being provided.

Some systems offered, installed, supported, or monitored by TNSG may use artificial intelligence, machine learning, or automated rules to detect or classify people, vehicles, objects, motion, intrusion, loitering, line crossing, licence plates, access events, or other activity. These functions may generate alerts or help authorized personnel prioritize events for review.

Automated results may be incomplete or inaccurate and should not be treated as conclusive in every circumstance. Their performance may be affected by lighting, camera placement, weather, image quality, network conditions, system settings, software updates, and other factors.

Facial recognition, fingerprints, and other biometric functions involve sensitive information. A client that enables such a feature is responsible for determining whether it is necessary and lawful, providing any required notice or alternative, obtaining any required consent, limiting access, and applying an appropriate retention period.

TNSG does not sell Client System Data and does not use surveillance footage, access records, biometric information, or incident information for unrelated advertising.

TNSG may use personal information to:

  • respond to inquiries, arrange consultations or site assessments, and prepare quotations, proposals, designs, and contracts;
  • establish and manage client accounts and authorized users;
  • design, install, configure, test, monitor, maintain, repair, and support security systems;
  • respond to alarms or security events and follow authorized escalation, dispatch, and emergency procedures;
  • communicate with clients, emergency contacts, monitoring personnel, guards, service providers, and emergency responders;
  • process payments, refunds, financing, accounting, tax, warranty, and collection matters;
  • diagnose technical issues, maintain system security, prevent fraud or unauthorized access, and protect people, property, and business operations;
  • manage leads and client relationships, measure advertising and website performance, and improve our services and customer experience;
  • send service-related communications and, where permitted, information about relevant products or services;
  • comply with contracts, court orders, regulatory requirements, legal obligations, and the establishment or defence of legal claims.

Where practical, TNSG may use aggregated or de-identified information for planning, analytics, and service improvement.

TNSG obtains consent where required by law. The form of consent may be express or implied depending on the sensitivity of the information, the purpose, the context, and the reasonable expectations of the individual.

You may withdraw consent to an optional use of personal information by contacting us. Withdrawal does not affect processing that occurred before consent was withdrawn and may be subject to legal, contractual, security, or operational restrictions. TNSG may be unable to provide a requested service where the information is necessary to perform that service.

Where permitted by Canada’s anti-spam legislation, TNSG may send promotional electronic messages. You may unsubscribe using the method provided in the message. We may continue to send transactional, account, security, payment, warranty, or support communications.

Our website may use cookies and similar technologies for essential operation and security, accessibility and functional preferences, analytics, website performance, lead and call attribution, conversion measurement, and advertising performance. TNSG may use Google Tag Manager, Google analytics or advertising services, call-tracking tools, and other third-party measurement platforms.

You can control or delete many cookies through your browser settings. Disabling cookies or related technologies may affect website functionality, embedded content, forms, accessibility preferences, analytics, or lead attribution. Some tracking technologies may not rely on conventional browser cookies. Third-party providers process information under their own privacy policies.

TNSG may share personal information with service providers and business partners where reasonably necessary to operate our business or provide an authorized service. These may include website and cloud hosting providers, email and communication platforms, CRM and lead-management services, analytics and call-tracking providers, payment processors, equipment manufacturers, security software and cloud platforms, monitoring centres, installation or service contractors, guard or dispatch providers, and legal, accounting, insurance, or other professional advisers.

During an alarm, incident, or emergency, information may be disclosed to an authorized client representative, property management, emergency contact, monitoring centre, private guard provider, insurer, police, fire, ambulance, or another party identified in the client’s approved response instructions.

We may also disclose personal information where permitted or required by law, including to comply with a subpoena, warrant, court order, regulatory request, investigation, debt collection, legal claim, or a situation involving fraud, unlawful activity, cybersecurity, or a threat to safety or property.

Personal information may be transferred as part of a proposed or completed financing, sale, merger, reorganization, or transfer of all or part of the business, subject to applicable legal requirements.

TNSG does not sell, rent, or trade personal information. Website analytics and advertising providers may receive limited device, cookie, campaign, or conversion information for measurement and advertising purposes, but they do not receive client surveillance footage, access records, or incident information for those purposes.

TNSG and its service providers may process or store personal information in Canada, the United States, and other jurisdictions. This may occur through website hosting, cloud storage, email, CRM, analytics, call tracking, payment processing, security platforms, monitoring services, or technical support.

Information processed outside Canada may be subject to the laws of the foreign jurisdiction and may be accessible to courts, law enforcement, national security authorities, or regulators in accordance with those laws.

TNSG remains responsible for personal information under its control as required by applicable Canadian privacy law and takes reasonable steps appropriate to the service and sensitivity of the information.

TNSG retains personal information only for as long as reasonably necessary for the purposes described in this Policy, the applicable agreement, and legal, accounting, warranty, insurance, security, or dispute-resolution requirements.

Client System Data may be stored on client-owned equipment, local servers, mobile devices, cloud platforms, monitoring systems, or third-party services. The client may control or select the retention period for recordings, access logs, and other system data.

When information is no longer required, TNSG may delete, destroy, overwrite, or de-identify it, subject to backup cycles, technical limitations, legal holds, and lawful retention requirements.

TNSG uses reasonable physical, administrative, and technical safeguards appropriate to the sensitivity and nature of the information. These may include access restrictions, authentication, secure transmission, system and account controls, confidentiality requirements, backups, and secure disposal. No system, storage method, or electronic transmission can be guaranteed to be completely secure.

Clients are responsible for protecting their passwords, administrator accounts, mobile devices, access credentials, and authorized-user lists and should promptly report suspected unauthorized access.

Where a breach of security safeguards involving personal information under TNSG’s control creates a real risk of significant harm, TNSG will report the breach, notify affected individuals, and maintain records as required by law. Where the information is controlled by a client, TNSG will notify or assist the client as required by the applicable agreement and law.

You may contact TNSG to request access to personal information under our control, ask how it has been used or disclosed, or request correction of inaccurate or incomplete information. We may request information to verify your identity and locate the relevant records.

Access may be limited where permitted or required by law, including where disclosure would reveal personal information about another person, confidential commercial or security information, privileged information, information relating to an investigation, or information that cannot legally be disclosed.

Requests relating to surveillance footage, audio, access logs, or incident records should identify the relevant location, date, approximate time, and event. Where the information is controlled by a TNSG client, we may refer the request to that client. Recordings may require masking, redaction, or other restrictions to protect other individuals and security arrangements.

You may also ask us to withdraw consent or delete information. Deletion is not an absolute right and may not be available where retention is required for a service, security, evidence, warranty, accounting, contractual, or legal purpose.

Privacy questions and complaints should first be directed to TNSG using the contact information below. If a concern is not resolved, you may contact the Office of the Privacy Commissioner of Canada or another regulator with jurisdiction over the matter.

Our website may link to third-party websites, manufacturer portals, maps, social media, payment services, monitoring platforms, or other external services. TNSG is not responsible for the privacy or security practices of services that we do not control.

We may update this Privacy Policy when our services, technologies, providers, or legal obligations change. The revised version will be posted on our website with an updated date. Additional notice or consent will be provided where required by law.
